The short version of the manual.
Everything DayRota does fits on this page, because a tool with a 40-page manual is a tool somebody has to be trained on. If the answer is not here, ask us and it will end up here.
First five minutes
- Create a space. Pick a workshop or a household, a name and a timezone. You become its admin.
- Add your people. On Team, add someone with a name; give them an email only if they need to sign in themselves. Everyone else can be on the rota without an account.
- Set the hours. On Hours, an admin sets the space's week — the days it opens and the times it works. Every person inherits it.
- Put something on the board. "Add a card" in a column, give it minutes, and drag it onto somebody's day.
The board
Three columns — Waiting, Next and Done — and below them, a lane per person for today. Moving work between the two is the whole product.
- Adding a card
- Use the add box in a column. A title and minutes are enough; everything else — description, who is on it, travel, a due date — can come later from the card's own panel.
- Putting work on a day
- Drag a card onto a lane and it takes the slot you dropped it in. If it does not fit, it says by how much and stays where it was. That refusal is the point: the alternative is finding out at four o'clock.
- Changing a job's length
- Drag the bottom edge of a block on a lane to resize it, or open the card and type the minutes. Either way the day is re-measured.
- Folding the cards away
- "Fold cards" collapses the three columns to their headers, which is what you want on a phone or when the day matters more than the list. It is remembered per browser, not per person.
- Ticking something off
- Completion is per person. A job with two people on it is finished when both have ticked it, and one person's tick does not take the work off anybody else's day.
Your day
Agenda is the same day as one list, just for you: your blocks in order, a tick each, and a line for the current time. It is the view to open on a phone in the morning, and the one to leave open on a bench screen.
Hours
Hours are the only thing that makes the arithmetic mean anything, and they live in one place: Hours.
- Your own week is yours to edit. Multiple windows a day are allowed, so a lunch break is a gap rather than an argument.
- The space's week is what everybody inherits, and only an admin can change it.
- Strict hours can be switched off for a space that needs the day to be flexible; the hours are then a guide rather than a wall.
People
- Adding somebody without a login
- Name only. They get a lane, their own hours and their own blocks, and they still count as a person on the plan. A child, or somebody who would rather look at the screen on the wall.
- Inviting somebody who will sign in
- Send an invite and they choose their own password when they accept it. The link is single-use and expires.
- Somebody leaving
- Deactivate them rather than deleting them: they stop appearing as available, and the history of what they did stays on the cards.
On a phone
There is no app store and nothing to download. Open the board in the browser and add it to your home screen:
- iPhone: Share, then "Add to Home Screen".
- Android: the menu, then "Install app" or "Add to Home screen".
Once it is on the home screen it opens full screen. A page you have already opened stays readable with no connection, and tells you how old it is. Saving while offline is refused rather than queued, so nobody believes a change landed when it did not.
Signing in
- Signed out? Sign in.
- Forgotten password? Use the reset form — the link it emails works once and expires.
- No space yet? Create one — three people cost nothing.
